Clinical Operations Coordinator – Provider Support (NP)

Location: Remote – United States
Employment Type: Part-Time
Department: Clinical Operations
Required Background: Nurse Practitioner (NP)

About LumiMeds

LumiMeds is a fast-growing U.S.-based telehealth startup focused on weight management and long-term metabolic health. We deliver patient-centered, provider-guided care through a modern virtual platform, combining clinical oversight with strong operational support.

As an early-stage company, we move quickly, operate with limited layers, and expect high ownership from every team member. We are a remote-first, globally distributed team that values accountability, efficiency, and proactive problem-solving.

About the Role

LumiMeds is seeking a Clinical Operations Coordinator – Provider Support (NP) to oversee the daily operational performance of our remote clinical provider network, including Doctors of Osteopathic Medicine (DOs) and Nurse Practitioners (NPs).

This position is responsible for monitoring provider workloads, tracking patient communication queues, identifying delays, and ensuring that patients receive timely responses and appropriate clinical follow-up.

The ideal candidate is a Nurse Practitioner with strong organizational skills, experience in telehealth environments, and the ability to proactively identify and resolve operational bottlenecks.

This is a part-time, remote position focused primarily on clinical operations, provider coordination, and patient response monitoring rather than direct patient care.

Key Responsibilities

1. Provider Workload Monitoring

  • Monitor daily workloads across DOs and NPs using the company's clinical management system.

  • Track pending consultations, patient messages, medical reviews, and outstanding clinical tasks.

  • Identify providers experiencing high workloads or delays in completing assigned tasks.

  • Coordinate workload adjustments and escalations with the appropriate clinical leadership.

  • Ensure provider assignments and pending patient requests are actively monitored.

2. Patient Response Monitoring & Follow-Up

  • Monitor patient communication queues to identify unanswered messages and delayed clinical responses.

  • Send reminders and alerts to providers when patient requests remain pending beyond established response-time expectations.

  • Escalate urgent or time-sensitive patient concerns according to established clinical protocols.

  • Follow up on unresolved cases to ensure appropriate action is taken.

  • Help prevent communication gaps that could negatively impact the patient experience.

3. Clinical Operations Coordination

  • Serve as an operational point of contact between clinical providers and internal support teams.

  • Identify recurring workflow issues affecting provider productivity and patient response times.

  • Support the implementation of standardized clinical communication and escalation procedures.

  • Collaborate with Clinical Leadership and Operations to improve efficiency and service quality.

  • Maintain visibility into outstanding clinical tasks and follow-up requirements.

4. Performance Tracking & Reporting

  • Monitor key operational metrics, including:

    • Average patient response time.

    • Number of unanswered or overdue patient messages.

    • Provider workload distribution.

    • Pending clinical tasks by provider.

    • Escalation volume and resolution time.

  • Prepare concise reports highlighting delays, operational risks, and improvement opportunities.

  • Recommend workflow adjustments to improve provider efficiency and patient satisfaction.

Requirements

  • Nurse Practitioner (NP) degree and professional background required.

  • Active U.S. NP license preferred; required if the role includes activities that constitute clinical practice.

  • Previous experience in telehealth, virtual care, or clinical operations.

  • Strong understanding of clinical workflows, patient communication, and provider responsibilities.

  • Experience using Electronic Medical Records (EMR) or telehealth management platforms.

  • Excellent organizational skills and attention to detail.

  • Ability to manage multiple priorities and follow up proactively.

  • Strong written and verbal English communication skills.

  • Comfortable working independently in a fast-paced, remote environment.

  • Familiarity with HIPAA and patient confidentiality requirements.

Nice to Have

  • Experience coordinating distributed clinical teams.

  • Background in weight management, metabolic health, or subscription-based telehealth services.

  • Experience monitoring clinical service-level agreements (SLAs) and response-time metrics.

  • Experience building operational dashboards or tracking provider performance.

What Success Looks Like

  • Patient messages and clinical requests are consistently monitored and addressed within established response-time targets.

  • Providers receive timely alerts regarding pending or overdue tasks.

  • Workload imbalances are identified early and escalated appropriately.

  • Clinical communication delays are reduced.

  • Leadership has clear visibility into provider workloads, pending tasks, and operational performance.

  • Patients experience timely, coordinated, and reliable clinical support.
