This is a high touch point position which requires being onsite for 5-days a week. RESPONSIBILITIES: Promote ongoing communication with owners related to unit status Perform unit checks, upgrade letters, and provide feedback to owners regarding units Facilitate paperwork, transfer ownership, create new owner billing account and establish communication with new owners when a unit is sold Manage and coordinate the onboarding of all new owners, ensuring they are up and running within 30-days Contact the title company to get a copy of the warranty deed for new owners when a unit is sold to ensure the date of transfer to the new owners Handle owner reservations Provide billing information, create and review monthly owner statements for accuracy and provide backup to be mailed with statements Share a quarterly newsletter to provide information on property updates, local information, and revenue forecast Provide timely response to owners’ questions regarding rentals, unit availability, reservations, and revenue statements Update gross revenue spreadsheet to provide revenue information for owners and realtors Continually look for ways to improve the owner vacation residence experience and to reduce HOA expenditures Establish centralized owner information for all departments to view Provide timely response to realtors’ requests for information in support of a sale Assist owners and maintenance/housekeeping departments with maintenance requests and condominium upgrade projects Prepare notifications and assist in preparation of annual homeowners meeting Attend quarterly HOA meetings Review monthly financial statements, process invoices, and maintain files Assist with Deer Valley marketing on property websites to ensure accuracy Prepare end-of-year tax information with breakdowns of expenses and revenue Assist operationally as needed with guest services duties (front desk, warm welcome at check-in), general store and housekeeping.
