Come join our 31,000+ staff working in nearly 100 countries and share the joy of transforming vulnerable children’s life stories! Key Responsibilities: Job Purpose To execute day-to-day procurement transactions in line with World Vision SCM Policy and Procedures, approved procurement plans, system workflows, donor requirements, and customer service standards. The position reviews purchase requisitions, conducts transactional sourcing where required, uses existing contracts and catalogues where available, creates and updates purchase orders, follows up with suppliers and requesters, and ensures complete procurement documentation for assigned purchases. 20% - Purchase Requisition Review and Buyer Action undefined Review assigned purchase requisitions in the procurement system and verify completeness of specifications, quantities, delivery locations, need-by dates, budgets, and supporting documents. Confirm whether the requirement is covered by an existing contract, catalogue, supplier agreement, or requires sourcing. Follow up with requesters to correct incomplete, unclear, duplicate, or inaccurate requisitions. Action requisitions within agreed service timelines and escalate delays or complex issues to the Category Buyer, Strategic Sourcing Coordinator, or SCM Manager. Purchase requisitions are reviewed and actioned promptly, reducing pending buyer action, rework, and avoidable delays. 16% - Transactional Sourcing and Supplier Quotations Conduct transactional sourcing for routine, one-off, low-risk, or non-contracted purchases according to policy and thresholds. Request quotations, obtain supplier responses, compare offers, and document supplier selection rationale. Use approved suppliers, catalogues, contracts, and framework agreements where available. Escalate high-value, high-risk, complex, or recurring requirements for category sourcing or tender management. 15% - Purchase Order Creation, Changes and Supplier Follow-Up Update requisitions with correct supplier information, pricing, delivery terms, and supporting documents. Release requisitions into the correct approval workflow and monitor progress to purchase order creation. Issue purchase orders to suppliers after approval and confirm receipt, delivery expectations, and required documentation. Process PO change requests where required, coordinating with requesters, budget owners, Finance, and suppliers. Purchase orders are created accurately, issued on time, and updated when legitimate changes are required. Suppliers and requesters have clear information on order status and delivery expectations. 12% - Procurement Documentation and System Record Management Ensure all procurement documents are uploaded or retained in the approved system or file at the time they are generated. Maintain complete transaction records including requisition, approval string, purchase order/contract, quotations, supplier correspondence, evaluation notes, award justification, delivery documentation, and other required evidence. Correct documentation gaps identified by the Category Buyer, Data & Performance Specialist, Finance, approvers, or auditors. Support file closure and record readiness after completion of each transaction. undefined 12% - Supplier Coordination and Delivery Follow-Up Follow up with suppliers on order acknowledgement, delivery timelines, required documents, invoice issues, and delivery performance. Coordinate with requesters, logistics, warehouse, and receiving staff to confirm delivery status and resolve basic delivery issues. Escalate late deliveries, quality issues, supplier disputes, or repeated supplier performance concerns. Support supplier communication in a professional and transparent manner. 10% - Policy, Procedure and Compliance in Daily Buying Conduct all buying activities in line with WV SCM Policy and Procedures, donor rules, local requirements, and approved system workflows. Respect segregation of duties and ensure buyers do not make approvals outside their authorized role. Identify and escalate policy exceptions, unsupported supplier selections, missing approvals, retrospective purchases, and non-conforming procurement cases. Support corrective actions when compliance gaps are identified. Daily procurement is compliant, transparent, and aligned with approved workflows. Compliance issues are escalated early before they become audit findings or payment delays. 8% - Operational Planning Support and Contract/Catalogue Use Support procurement planning by guiding requesters on specifications, lead times, existing contracts, catalogues, and correct requisition practices. Encourage use of contracts and catalogues where available to reduce repetitive sourcing. Identify repeated purchases that may require category sourcing, framework agreements, or contract review. Provide feedback to Category Buyers and the Data & Performance Specialist on recurring demand and sourcing gaps. Recurring requirements are identified early, contracts and catalogues are used consistently, and repetitive or fragmented sourcing is reduced. 5% - Goods Receipt, Invoice and Payment Support Coordinate with requesters, receiving staff, suppliers, and Finance to support goods receipt documentation and invoice readiness. Follow up on missing delivery notes, goods receipt records, supplier invoices, and documentation required for payment. Support PO closure and resolution of basic payment-related documentation issues. Participate in refresher training, system learning, and process improvement sessions.
