Mortgage Fulfillment Specialist.

FULL TIMEREMOTEFINANCE & LEGAL$50K–60K/YR

This position is listed on behalf of a partner company, which manages all applications and next steps. Our partner is looking for a Mortgage Fulfillment Specialist based in Canada.

In this role, you will play a key part in ensuring mortgage applications progress smoothly from underwriting approval through to final funding. You will work closely with brokers, underwriters, clients, lenders, lawyers, and external partners to coordinate documentation, manage outstanding conditions, and keep transactions on schedule. Your attention to detail and proactive approach will help ensure every mortgage file is accurate, complete, and ready for closing. You will manage multiple active files while maintaining high standards of organization, communication, and client service. Joining a growing, technology-driven mortgage brokerage, you will contribute to operational efficiency and deliver a seamless experience throughout the mortgage fulfillment process. This is an excellent opportunity to develop your expertise in a collaborative, high-performance, and fully remote environment.

Accountabilities:

  • Mortgage file management: Manage mortgage applications from underwriting approval through to final funding, ensuring all required steps are completed accurately and within established timelines.
  • Documentation review and verification: Collect, review, organize, and validate client documentation, including income verification, bank statements, tax documents, and down payment confirmations.
  • Third-party coordination: Arrange property appraisals and coordinate the collection of additional documentation and requirements from external service providers.
  • Stakeholder communication: Maintain regular communication with clients, mortgage brokers, lenders, lawyers, underwriters, and internal teams to facilitate smooth transactions and resolve outstanding issues.
  • Conditions and deadline monitoring: Track mortgage conditions, outstanding documents, approval requirements, and closing deadlines, following up proactively to prevent delays and ensure timely funding.
  • Records and compliance: Maintain complete, accurate, and up-to-date client files and documentation, ensuring information is properly organized and accessible.
  • Broker and underwriting support: Assist brokers and the centralized underwriting team with administrative coordination, document follow-ups, and file progression throughout the fulfillment process.
  • Client experience: Deliver professional, responsive, and reliable service, keeping clients informed and supporting a smooth transition from approval to closing.
  • Operational efficiency: Contribute to improving administrative workflows, identifying opportunities to streamline processes, and supporting efficient mortgage fulfillment operations.
  • Requirements:

  • Previous experience in mortgage fulfillment, mortgage administration, underwriting support, or mortgage operations.
  • Good understanding of the mortgage lifecycle, particularly the processes involved between underwriting approval and final funding.
  • Practical experience reviewing and validating mortgage documentation, including income verification, financial statements, and down payment confirmations.
  • Strong organizational and time management skills, with the ability to coordinate multiple mortgage files and competing deadlines simultaneously.
  • Exceptional attention to detail and accuracy when handling financial documentation and client records.
  • Excellent written and verbal communication skills, with the ability to interact professionally with clients, brokers, lenders, legal representatives, and internal stakeholders.
  • Proactive follow-up and problem-solving abilities, with a strong sense of ownership and accountability for moving files forward.
  • Ability to work independently, prioritize tasks, and remain productive in a fully remote and fast-paced environment.
  • Strong technological adaptability and confidence using digital systems, mortgage platforms, and collaboration tools.
  • Experience with mortgage brokerage software such as Filogix, Velocity, Scarlett, FINMO, or comparable platforms is considered an asset.
  • Previous experience in a high-volume mortgage brokerage environment is strongly preferred.
  • A service-oriented mindset, combined with flexibility, reliability, and the ability to manage changing priorities.
  • Benefits:

  • Competitive compensation: Annual salary ranging from CAD $50,000 to $60,000, depending on experience and qualifications.
  • Comprehensive healthcare: Full benefits coverage to support your health and well-being.
  • Health Spending Account (HSA): Additional flexibility to manage eligible healthcare expenses.
  • Gain-sharing program: Opportunity to participate in a performance-based gain-sharing initiative.
  • Paid time off: Paid vacation to support work-life balance and personal well-being.
  • Equity opportunities: Access to a stock options program.
  • Fully remote work: Work remotely from anywhere in Canada, with flexibility and no requirement to commute to an office.
  • Career growth: Opportunity to join a rapidly expanding national mortgage brokerage with strong long-term development potential.
  • Collaborative culture: Work alongside a supportive, high-performing team with modern systems, streamlined processes, and a focus on continuous improvement.
