Location: US – Remote / UK - London

Job Responsibilities:

· Manage the CEO’s complex calendar, priorities, meetings, and preparation time across US and UK time zones
· Coordinate domestic and international travel, including itineraries, accommodations, transportation, logistics, and schedule adjustments
· Manage requests for the CEO’s time, using sound judgment to prioritize, redirect, or decline requests based on business priorities
· Prepare briefing notes, agendas, presentations, correspondence, and other materials for key internal and external meetings
· Capture decisions, actions, and commitments from meetings, maintain clear trackers, and proactively follow up with owners to ensure completion
· Serve as a trusted liaison between the CEO and the Executive Leadership Team, Board members, clients, partners, and other key stakeholders
· Draft and manage executive communications in a warm, direct, and professional voice, ensuring clear handoffs and timely follow-up
· Coordinate key Executive Leadership Team activities, leadership communications, performance milestones, town halls, and other executive-level initiatives
· Manage executive administration, including expenses, invoices, contracts, approvals, records, and other documents requiring CEO attention
· Continuously improve systems, routines, and processes that increase the effectiveness of the CEO and executive office

Required Qualifications, Capabilities, and Skills:

· 5+ years of experience as an Executive Assistant or in a comparable role directly supporting a CEO or senior executive
· Demonstrated experience managing complex executive calendars, competing priorities, frequent changes, and domestic and international travel
· Exceptional written, verbal, and interpersonal communication skills, including the ability to draft executive-level correspondence
· Advanced proficiency with Microsoft 365, including Outlook, Teams, Word, PowerPoint, and Excel
· Strong organizational and time-management skills with exceptional attention to detail and follow-through
· Demonstrated ability to anticipate needs, exercise independent judgment, identify issues early, and follow through without prompting
· Proven discretion and experience handling highly confidential corporate, Board, personnel, or commercially sensitive information
· High emotional intelligence and confidence interacting with senior executives, Board members, clients, partners, and other stakeholders
· The confidence to respectfully push back, hold others accountable to deadlines, and determine what requires the CEO’s attention versus what can be handled elsewhere
· Flexibility to support an international organization across US and UK time zones, including occasional adjustments to working hours and travel as needed
· Familiarity with modern productivity and AI tools used to improve executive and administrative workflows

Preferred Qualifications, Capabilities, and Skills:

· Bachelor’s degree in Business Administration, Communications, or a related field
· Experience supporting Board and executive leadership meetings, including preparation of presentations, reports, meeting materials, and communications
· Experience working in a global, private equity-backed, high-growth, or rapidly evolving organization
