PEOPLE & OPS
Introduction to role: Are you ready to orchestrate complexity across time zones so leaders can focus on decisions that move life-changing medicines to patients faster? Do you thrive in high-trust partnerships where your judgment, discretion and calm under pressure create clarity for others? In this role, you will support 2–3 senior executives across functions and locations, enabling them to focus on what matters most. You will anticipate needs, manage highly complex calendars, coordinate global meetings and travel, and set up simple, effective ways of working that keep leadership teams aligned and moving fast. By applying AI and digital tools, you will simplify processes, remove friction and help a busy, mission-led organization operate at its best. Typical Accountabilities: Executive Calendar & Priority Management: Proactively manage complex global calendars, resolve competing priorities and protect focus time to keep leaders focused on what matters most. Meetings & Travel Coordination: Seamlessly coordinate executive meetings, international travel, leadership sessions and offsites, ensuring every detail is handled with precision. Team Governance & Operations: Drive effective team routines through forward planning, agenda management, action tracking and timely follow-up. Proactive Problem Solving: Anticipate needs, identify potential challenges early and use sound judgement to deliver practical solutions. Stakeholder & Relationship Management: Build trusted relationships across teams, seniority levels and geographies, communicating with professionalism, confidence and discretion. Digital & AI Enablement: Leverage AI and digital tools to simplify processes, automate routine activities and continuously improve ways of working. Confidential Administration & Budget Management: Handle sensitive information, expenses, budgets and administrative processes with accuracy, discretion and compliance. Essential Skills/Experience: 5+ years’ experience as a Personal or Executive Assistant supporting senior leaders, ideally within a large, global organization. Strong experience managing complex calendars, competing priorities and multiple executives across different time zones. Excellent organization and time-management skills, with the ability to work under pressure and meet critical deadlines. Highly proactive and solutions-focused, with strong judgement, initiative and the confidence to navigate ambiguity independently. Proven experience coordinating domestic and international travel. Strong digital mindset, with excellent Microsoft Office skills and experience using AI tools to improve efficiency and ways of working. Experience managing expenses, budgets and administrative processes with accuracy. Excellent written and verbal communication skills, with a strong service-oriented approach. High level of integrity, confidentiality and discretion when handling sensitive information. Fluent in English. Desirable Skills/Experience: Relevant vocational qualifications. Proficiency in Spanish is a plus. Previous experience supporting HR senior leaders. Project management experience and skills.
