This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Operations and Systems Support Specialist based in the United States.

The Operations and Systems Support Specialist will play a key role in supporting financial operations, business systems, and data management across a growing, multi-department organization. This position combines financial systems support, technical troubleshooting, reporting, and general operational coordination. You will help ensure the accuracy, security, and integrity of client and organizational data while optimizing processes and maintaining reliable system integrations. Working closely with different departments, clients, vendors, and leadership teams, you will contribute to the successful implementation of technology-driven solutions. The role also offers opportunities to support AI and automation initiatives, improve workflows, and enhance operational efficiency. This is an excellent opportunity for a detail-oriented professional who enjoys solving problems, learning new technologies, and making a meaningful impact in a collaborative remote environment.

Accountabilities:

  • Support financial operations and new client onboarding, including internal system setup and configuration.
  • Set up, maintain, and troubleshoot client bank account and payroll integrations with QuickBooks Online and secure password management platforms, coordinating with clients, financial institutions, and external vendors when necessary.
  • Provide operational support to payroll and pension teams during annual setup periods, peak processing cycles, and year-end reporting.
  • Identify and resolve software integration issues while ensuring the accuracy, security, and consistency of financial and client data.
  • Assist with the development, maintenance, and improvement of financial reporting dashboards and support data-related projects across departments.
  • Maintain and organize Monday.com boards, including periodic backups, data cleanup, and ongoing updates to ensure reliable information management.
  • Update client contact records across Monday.com CRM and newsletter mailing platforms, and maintain boards supporting client renewal initiatives.
  • Contribute to organizational AI and automation projects, helping identify opportunities to streamline processes and improve operational efficiency.
  • Create, update, and maintain workflow documentation to support consistency and knowledge sharing across teams.
  • Assist with newsletters, special client communications, membership and contract data retrieval for billing purposes, and other administrative initiatives.
  • Provide general systems, technical, and operational support across departments, adapting to evolving organizational priorities.
  • Requirements:

  • Bachelor's degree in Accounting, Information Systems, Business Administration, or a related discipline, or an equivalent combination of education and professional experience.
  • At least 3 years of experience in accounting, bookkeeping, financial operations, business systems support, data management, or a related field.
  • Previous experience supporting business applications, enterprise software, system implementations, configurations, or technical integrations.
  • Strong understanding of reporting, data coordination, and business process management; experience with automation initiatives or business intelligence solutions is an advantage.
  • Advanced Microsoft Excel skills, including formulas, lookups, data analysis, and spreadsheet management.
  • Proficiency with Microsoft Office 365 and familiarity with AI tools such as ChatGPT or Claude.
  • Experience with QuickBooks Online, CRM platforms, and cloud-based business applications is preferred.
  • Familiarity with Monday.com or comparable project management and workflow management platforms is an advantage.
  • Experience providing technical support, troubleshooting system issues, and assisting or training end users.
  • Knowledge of accounts payable, general ledger, payroll, and pension processes is a plus.
  • Previous experience in financial operations within synagogue or faith-based organizations is desirable.
  • Strong analytical and problem-solving abilities, exceptional attention to detail, and a commitment to data accuracy and confidentiality.
  • Excellent written and verbal communication skills, with the ability to collaborate effectively across departments and interact with stakeholders at different organizational levels.
  • A proactive, adaptable, and resourceful approach, with the ability to manage multiple priorities, meet deadlines, and learn new technologies quickly.
  • Must be legally authorized to work in the United States for the entire duration of employment without requiring current or future employer sponsorship, including OPT, STEM OPT, H-1B, or other visa sponsorship.
  • Benefits:

  • Annual base salary: $57,000–$68,000, depending on experience, qualifications, location, and other relevant factors.
  • Medical, dental, and vision insurance options.
  • 100% employer-paid short-term and long-term disability insurance.
  • 100% employer-paid basic life and accidental death and dismemberment (AD&D) insurance.
  • 401(k) retirement savings plan with a 100% employer match on contributions up to 4%.
  • Flexible paid personal and vacation time, built around mutual trust and accountability.
  • 10 paid sick days annually.
  • 10 company-paid holidays.
  • 12 weeks of paid parental leave.
  • Remote working opportunity within the United States.
  • Opportunities to contribute to AI, automation, and business process improvement initiatives while developing technical and operational expertise.
